How Can I Edit Who Assigns a New Hire or Participant's Buddy, Manager, etc?

Learn how to edit the default settings on who can assign roles when a New Hire or Participant is added to Donut Journeys.

When you add New Hires or Participants to Donut Journeys, we'll ask you to select someone to fill empty Roles associated with them, such as their Buddy or Manager. 

Donut helps you save time, delegate responsibility to your other team members, and streamline your Journeys program with automated Role logic.

Editing Role Logic per New Hire / Participant

When you add a New Hire or Participant to a Donut Journey, you can edit their details, including their assigned roles, at anytime.

To edit a New Hire / Participant:

  1. Login to your Donut Dashboard using your Slack credentials

  2. Click "Donut Journeys" on the left-hand side menu

  3. Click "New Hires" or "Participants" depending on the individual

  4. Locate the New Hire/ Participant and select the pen on the right hand side to edit their details

You can search for specific users to fill roles, or click the ellipses to select another way for that role to be chosen. 

You'll see three other options:

  1. Chosen by another role
    (for ex: if a "Buddy" should be chosen by the New Hire or Participant's "Manager")

  2. Chosen by a specific person
    (for ex: if the "Buddy" should be chosen specific person on your team)

  3. Random person from a channel
    (for ex: if you have a Slack channel you'd like Donut to randomly select a "Buddy" from, such as #ambassadors or #buddyvolunteers)

Click "confirm" to save the role settings. 

What Happens When I Set Someone Besides Me to Choose a Role?

When you select someone (i.e a Manager, Specific Person, etc) to choose a Role for a New Hire/ Participant such as a "Buddy," the Manager or Specific Person will receive a Slack message prompting them to select someone to fill the Role. 

Editing Role Logic for an Entire Journey

You can also set the default Role logic for a Journey so that all New Hires or Participants assigned that Journey will have the same rules (without you having to edit each one individually). Setting the default Role logic saves you time, helps you delegate responsibility to other team members, and automates your Journeys programs.

Click "All Journeys" in the left navigation, then find the Journey you'd like to edit. Click the gear icon and select "Settings." 

Once in the Settings, navigate to the "Roles" tab. You'll see a list of all Roles with options for how each Role should be filled. 

There are four options:

  1. Chosen on New Hire's / Participant's screen
    (this is the default setting, roles are filled by an admin when New Hires or Participants are added)

  2. Chosen by another role
    (ex. if the "Buddy" should be chosen by the New Hire/ Participant's "Manager")

  3. Chosen by a specific person
    (ex. if the "Buddy" should be chosen specific person on your team)

  4. Random person from a channel
    (if you have a Slack channel you'd like Donut to randomly select a "Buddy" from, such as #ambassadors or #buddyvolunteers)

Note: Changes made in this screen will be applied to all Roles in that Journey, so all New Hires or Participants assigned that Journey will have the same logic.

For example, if you edit the Buddy role logic in your "Peer Mentoring" Journey to be "Chosen by another role" and select "Manager," then all Participants assigned the "Peer Mentoring" Journey will have their Buddy chosen by their Manager. 

Be sure to hit "Save" once you've updated all Roles.
