How to Edit Journey Messages

Learn how to quickly update your message content in Donut Journeys to keep communications clear and on track for participants.

Editing messages in Donut Journeys lets you personalize communication with new hires, managers, HRBPs, buddies, and other key roles. To learn how to edit the body, timing, and recipients of an existing message in your Journey, follow the steps below:

Find the Journey Message You Want to Edit

To start editing an existing message, follow these steps:

  1. Go to the All Journeys tab and choose the Journey you want to update.

  2. Once inside the Journey, locate the message on the calendar that you want to edit and click on it.


Edit the Recipients

To change who will receive the message:

  1. In the Who’s it for section, choose the recipient(s) for the message. You have the following options:

    • Roles: Select roles associated with the message, such as New Hire, Manager, IT, etc.

    • Specific Person: Send the message to a specific individual, like a member of the IT team.

    • Cohort Channel: Send the message to a cohort channel created within the Journey for that event.

    • Specific Channel: Send the message to a specific Slack channel (e.g., #general).

  2. Click Save.

Note: If a user is subscribed to multiple Journeys that include this same Message they will only receive the Message once.


Edit Message Timing

To adjust when the message will be sent:

  1. In the When’s it for section, you can set the message to be sent based on the New Hire’s or Participant’s timeline.

  2. Choose how many workdays before or after their start/anchor date you want the message to go out (e.g., "10 Workdays Before Start").

  3. You can also set the specific time for the message to be sent, adjusting it based on the New Hire’s time zone.

  4. Once you’ve set the desired timing, click Save.

Edit the Body of a Message

  1. In the What is it section, you can edit or add text and links within the text box.

  2. Attachments: Click 'Attach file' to add attachments to some message types including Individual Messages, Group Messages, Tasks, and Polls.

  3. Formatting: Need to make @mention someone or make something bold or italics? Use the suggested formatting tips at the bottom of the message box to further customize the text.

Save Your Changes

Once you're happy with your updates, click Save to make sure your changes stick.


Editing Messages for Individual Users

In addition to editing Journey messages for all participants/new hires, you can now edit messages for individual users. This allows for personalized communication without affecting other participants in the Journey.

Edit a Message for a Specific User

To edit a message that will only affect a single participant:

  1. Go to the user's individual Journey session via the All New Hires or All Participants page.

  2. Find and select the message you want to customize for this specific user.

  3. Click the Edit message for this person button.

  4. Make your edits to the message content, timing, or other details.

  5. Click Save

Note: When you edit a message this way, the changes will only apply to this specific user. The original Journey message template remains unchanged for all other participants.


Supported Message Types

Individual message editing is available for message types with a primary target user, including:

  • Individual Messages

  • Task Messages

  • Poll Messages

  • Email Messages

  • Group Messages

  • Intro Messages

Note: Even though Group Messages and Intro Messages may involve multiple people, they can be edited because they have one primary target (e.g., a New Hire being introduced to their Buddy).


Message Types That Cannot Be Individually Edited

The following message types cannot be edited for individual users:

  • Channel Messages

  • Cohort Channel Messages

  • Messages targeting multiple people in the same role (e.g., connecting two Trainees)
